Frontline Admin Support (Remote)

Power the Frontline. Strengthen the Systems That Support Women At 4 Voices, we support women facing domestic violence, homelessness, isolation and hardship. Through street outreach, phone and digital services, we connect women to safety, dignity and meaningful pathways forward. Behind every frontline interaction is a strong operational foundation that ensures our volunteers are supported, compliant and equipped to deliver services safely and effectively.

As Frontline Admin Support, you will play a critical role in maintaining the systems, reporting and administrative processes that underpin our volunteer operations. Your work ensures onboarding, access permissions, reporting accuracy and qualification records are managed efficiently and in line with organisational requirements.

This role provides essential back-end support to Team Leaders, Drivers and operational staff, helping maintain data integrity across Better Impact and related systems.

What you will do:

  • Generate and monitor inactive volunteer reports, ensuring timely follow-up and accurate status management
  • Manage back-end onboarding processes for Team Leaders and Drivers, including invitations, attendance tracking and qualification updates
  • Coordinate appointment and qualification updates within Better Impact to ensure compliance and data accuracy
  • Process role change IT requests and manage system permissions to maintain appropriate access levels
  • Send Team Leader meeting invitations and maintain accurate attendance records
  • Maintain warehouse and Better Impact access permissions for relevant roles
  • Support ad hoc operational projects and priority initiatives as required

Who we are looking for:

  • Highly organised with strong attention to detail and data accuracy
  • Confident working with volunteer management systems (Better Impact experience desirable)
  • Strong administrative and reporting capability
  • Comfortable managing system permissions and compliance-related processes
  • Proactive, reliable and able to manage competing priorities
  • Clear and professional communicator, able to liaise with operational stakeholders
