**About Women 4 STEM **
Women for STEM was founded in 2005 and is a not-for-profit organisation dedicated to empowering young girls and women to pursue careers in STEM by providing resources, mentorship, and career opportunities. We host 5 programs and over 40 events each year, such as Go Girl, Go for IT, What’s Hot in Tech, and the Grad Girls Program to inspire young minds and foster diversity in STEM.
**About the Grad Girls Program **
The Grad Girls Program is a flagship initiative of Women 4 STEM, designed to inspire and empower female students to explore careers in STEM. The program features engaging workshops, interactive careers expo, panel discussions, and webinars, culminating in impactful events. Across the 9-month Program, participants connect with STEM professionals, gain hands-on experience, and envision themselves in STEM careers
**Role Overview **
Reporting into the Program 2IC, the Virtual Event Coordinator leads the planning, coordination, and delivery of 8 virtual events for the Grad Girls Program, including webinars. All events will be hosted online via Zoom and attended by the Grad Girls Tech (Victoria) and Grad Girls Sydney cohorts.
This role involves managing all aspects of virtual event delivery, from coordinating speakers to moderating chat and ensuring smooth technical operations. You will work closely with the Webinar Event Support volunteer, as well as Interstate Program Leads, Program 2ICs, Discord Coordinators, and other streams to ensure high-quality, engaging virtual experiences.
This is an excellent opportunity for young professionals in Virtual Events, Project Management, or Logistics to gain practical experience, expand their networks, and contribute to diversity in STEM. Volunteers receive hands-on exposure, mentoring, and perks such as discounted tickets to Women 4 STEM events.
**Responsibilities include: **
Collaborate with the Program Lead and Program 2IC to deliver the plans for the 8 virtual events (Tech Panels and Webinars) as outlined in the Event Playbook
Develop and manage virtual event collateral with Events Support, including run sheets, participant RSVP lists, and speaker briefings
Manage all virtual event logistics such as Zoom setup, Teams / Google Meet backup, audience engagement polls, breakout rooms and Q&A
Moderate live chat, track attendance, and escalate participant questions to speakers or MCs
Act as the primary contact for all aspects of the virtual events for all Program Leads, Program 2ICs, Student Events Coordinators and Ticketing Lead. This includes confirm attendance, manage registrations, and communicate event details such as agenda, location, timing
Ensure awareness of timezone differences and daylight savings for Brisbane participation
Supervise and delegate tasks with the Virtual Event Support volunteer
Liaise with the Sponsor Liaison and Marketing Lead to integrate Sponsor branding into events
Collaborate with the Data Analysts to collect and evaluate event feedback, measuring success and recommending improvements
Provide Program 2IC with monthly reporting, summarising event outcomes, challenges, and recommendations
**Who are we looking for? **
Experience in event and/or webinar management, with the ability to manage multiple priorities
Confidence with Zoom is essential; Teams and Google Meet experience is a bonus
Tech-savvy, adaptable, and comfortable troubleshooting basic platform issues
Experience with Slack is an advantage (not essential)
Strong interpersonal and communication skills, with experience working across diverse teams and stakeholders
Strong attention to detail, with a commitment to high-quality event delivery
Proactive and hands-on, with a passion for effective audience engagement
Ability to collaborate cross-functionally while working independently
A passion for gender equality and supporting diversity in STEM education
**What is the commitment? **
Approximately 4-6 hours per week. Certain times are busier than others
The Grad Girls Program runs for 9 months (February–October). Applicants must commit for the full 2026 program
Flexibility to attend virtual meetings (note: team meetings may be outside business hours or on weekends)
