(LMA) is a registered charity and not-for-profit organisation that brings communities together through multicultural markets and family-focused fundraising events across Victoria. All proceeds support Kinds of Happiness (KOH), a charity dedicated to empowering disadvantaged youth in regional and rural Australia through mentoring, farming programs and skills development. AT A GLANCE

ABOUT THE ROLE
As an Events Admin Assistant, you will work closely with our Event Organisers to keep LMA's markets and fundraising events running smoothly. You will look after stallholder compliance records, handle vendor emails, support our marketing and finance teams, and help with general admin across the team. It is a great role for someone who is organised, detail-focused and enjoys being the person everyone can rely on.
THE EVENTS YOU WILL HELP DELIVER
LMA runs a varied calendar of community events, including:
- Multicultural markets: [regular / seasonal] markets bringing together stallholders, food vendors and local makers from diverse cultural backgrounds, held in locations in Victoria and NSW
- Fundraising events: community dining and social events held in scenic locations, where guests come together to raise funds for KOH
WHAT A TYPICAL WEEK LOOKS LIKE
You might update the compliance spreadsheet for an upcoming market, email a few stallholders about missing licences, reply to messages in our Facebook inbox, prepare a Mailchimp email, and join our weekly online team meeting to catch up with the Event Organisers.
KEY RESPONSIBILITIES
Compliance and records
- Keep the stallholder compliance spreadsheet up to date for all current markets and events
- Follow up with stallholders by email about missing, expired or pending documents, such as permits and food or business licences
- Check registrations for duplicate listings so our records stay accurate
Vendor communication and marketing support
- Contact stallholders about waitlist placements, category overlaps and other application questions
- Collect product descriptions and images from stallholders for promotional features, and pass them to our social media and design team
- Help prepare and send Mailchimp emails to stallholders and supporters
Finance support and general admin
- Pass stallholder cancellations, declines and refund requests to the Finance team
- Keep clear records of email correspondence so there is always an accurate trail
- Monitor and respond to enquiries in LMA's Facebook Messenger inbox
- Take meeting minutes when needed and attend weekly online team meetings
WHAT WE ARE LOOKING FOR
- Previous experience in administration, customer service or a similar role, whether paid or volunteer
- Strong attention to detail and confidence working with spreadsheets
- Clear, friendly and professional written communication
- Reliability and the ability to work independently in a remote setting
- Comfort with Google Workspace and email platforms
IT IS A BONUS IF YOU HAVE
- Experience using Mailchimp or other email marketing tools
- Experience managing records, compliance documents or shared filing systems
- Previous volunteer or not-for-profit experience
