Purpose of the Role

The Administration Coordinator supports the EOA Admin Team by keeping the day-to-day administration of the Events Organisation & Administration Team running smoothly. The role brings together training coordination for new volunteers, calendar and meeting support for the Director, and administrative support for the Community Kitchen Committee.

Key Responsibilities

  • Training coordination – Work with the EOA Admin Team Leader and relevant subject matter experts to schedule and organise training sessions for new volunteers, send invites and reminders, and keep track of attendance and follow-up materials.
  • Calendar support – Manage and coordinate the Director's calendar, scheduling meetings and appointments, flagging clashes, and sending reminders ahead of key commitments.
  • Team meetings – Set up regular team meetings via Google Workspace, including calendar invites and meeting links, preparing agendas, taking minutes, and following up on action items.
  • Community Kitchen Committee support – Provide administrative support to the Community Kitchen Committee, including scheduling meetings, maintaining committee records and documentation, and helping coordinate volunteer tasks.
  • General administration – Maintain accurate trackers and records, assist with document preparation, and provide other administrative support to the EOA Admin Team Leader as needed.

Skills & Experience

  • Strong organisational and time-management skills, with the ability to juggle multiple priorities
  • Confident using Google Workspace (Calendar, Meet, Docs, Sheets)
  • Excellent written and verbal communication
  • Experience in an administration, coordination or executive assistant role (paid or volunteer) is desirable
  • Comfortable liaising with new volunteers and committee members in a friendly, approachable manner
  • Reliable and able to work independently in a remote, volunteer environment
  • Discretion and professionalism when handling sensitive or confidential information
