Volunteer Operations Manager

Rethink Australia Foundation Ltd is a youth-led environmental organisation empowering students and schools to drive sustainability through education, technology and community action.

Our work brings together environmental education, student leadership, technology-enabled solutions and partnerships to create meaningful and measurable change.

As Rethink Australia grows, we are seeking a dependable and experienced Volunteer Operations Manager to help coordinate organisational activity, strengthen internal systems and support consistent execution across our team.

This is a hands-on coordination role for someone who enjoys turning plans into practical actions, maintaining momentum and helping people work effectively together.

Key responsibilities

• Maintain organisational project plans, action registers, deadlines and priorities

• Coordinate work across volunteers, projects and organisational functions

• Follow up agreed actions and help ensure responsibilities are understood

• Translate strategic decisions into clear tasks, owners and next steps

• Prepare meeting agendas, action summaries and concise operational updates

• Support volunteer onboarding, documentation and internal coordination

• Maintain organised shared files, registers, templates and operational records

• Monitor project progress and identify delays, dependencies or unresolved issues

• Help establish reliable weekly and monthly planning and reporting rhythms

• Coordinate information and deliverables between advisors, writers, designers and other team members

• Help document practical workflows, responsibilities and internal procedures

• Escalate decisions, risks or blocked work requiring organisational attention

About you

We are seeking a skilled and dependable professional with experience in one or more of the following areas:

• Operations management

• Project coordination

• Business administration

• Volunteer or team coordination

• Program operations

• Organisational systems and processes

• Project planning and delivery

• Not-for-profit or community organisations

The successful applicant will have excellent organisational and communication skills, strong judgement and a consistent approach to follow-up and accountability.

Applicants should be comfortable working with people from different professional and educational backgrounds, converting broad priorities into practical actions and maintaining clear records of progress.

Experience using Microsoft 365, project-management platforms, task registers or shared document systems will be highly regarded.

The role is based in Sydney and is online or remote friendly. Most work can be completed remotely, with occasional in-person collaboration where mutually convenient.

Approximately four to six hours per month is anticipated, with additional time occasionally required around major projects or organisational activities.
