Finance Document Management Support Volunteer

The Opportunity

The Finance team is seeking a volunteer to support the practical implementation of a new document management process. You will review current practices and develop practical recommendations, tools and guidance to improve the organisation, accessibility, security and audit readiness of supporting documentation linked to SUN transactions across CARE Australia and Country Offices in Vanuatu, Timor-Leste and Papua New Guinea.
Key Activities
- Review current finance document management, filing, indexing, retention and retrieval practices, and identify gaps, inefficiencies and compliance risks.
- Develop a short, practical workplan based on discussions with Finance and relevant Country Office stakeholders.
- Recommend a standardised framework for supporting documents linked to payments, journals, accruals, payroll, banking, system, project and donor transactions.
- Recommend electronic storage, classification, indexing, version control, access and retention approaches that maintain appropriate internal controls and support audit retrieval.
- Develop practical guidance and a SharePoint-based portal to help staff understand and follow the new requirements.

To Secure This Opportunity, You Will Ideally Have
- Demonstrated interest in the for-purpose sector and international development.
- Strong understanding of audit requirements, financial record retention, and internal control frameworks
- Experience with ERP or accounting systems, preferably SunSystems (SUN).
- Strong ability to translate policy requirements into practical guidance, workflows and user-friendly tools.
- Confidence working with Microsoft 365 tools, ideally including SharePoint site structure, document libraries and page design.
- Strong written communication skills and ability to produce clear guidance for staff with varying levels of system and procurement experience.
- Analytical skills, attention to detail and ability to identify practical compliance risks and improvement opportunities.
About the Volunteer Arrangement
- Location: Melbourne.
- Volunteer assignment length and working pattern: to be agreed.
- Commencement: as soon as practicable.
- Reporting to: Operational Finance Lead.
- This role does not involve processing transactions, maintaining accounting records, collecting or filing supporting documents, configuring systems or conducting audit testing.
