POSITION DETAILS Position title: Board Secretary Position type: Volunteer, part time, commitment average of 12hr a month Physical location: Western Australia – work from home
ABOUT US The Bee Industry Council of WA is the peak body working to support the WA bee industry, producers and associated organisations in the development of industry through leadership, advocacy and active participation in policy, planning and awareness. The Board Secretary plays a vital role in supporting the Board to shape and embed effective governance and administrative processes as we continue to grow, and deliver funded projects. This role is designed to relieve the Board of day-to-day board administrative duties, allowing for a clearer separation of governance and operations. The Board Secretary also helps strengthen board processes ensuring they are well-organised, compliant, and transparent. KEY DUTIES • Maintaining a register of the organisation’s members • Maintaining the minutes and other records of general meetings (including notices of meetings), directors’ meetings and circular resolutions • Preparing the agenda and necessary documents for board meetings general meetings • Maintaining the insurance(s) of the organisation • Maintaining conflict of interest register • Keeping the Common Seal of the organisation • Maintaining the requirement of ASIC/ACNC reporting including director appointments • Drafting and sending outgoing correspondence on behalf of the organisation OTHER • In-person attendance at board meetings (Bentley location) - 4 to 6 meetings annually and AGM • Report to BICWA on role activities as required and attend to general correspondence • Apply the guidelines and principles of the BICWA Code of Conduct WHAT YOU’LL GAIN FROM THIS ROLE As a volunteer Board Secretary, you’ll have the opportunity to: • Gain practical governance experience and insight into how a not for profit organisation is run • Develop or strengthen skills in governance processes, compliance, and administration • Work closely with experienced Board members, the Chair, and staff in a collaborative and friendly environment • Build confidence and experience that may support future Board, governance, or leadership roles
