Charity Events Volunteer
Event Operations
- Co-ordinate and Manage events as assigned, including:
- Event Set-up and pack-down.
- Cash handling.
- Food handling.
- Effectively manage speakers, including timely drafting of correspondence, sourcing and coordination.
- Manage the Teddy Bear Table, or Teddy Bear Building during events.
- Identify and manage operational and logistical requirements, including floor plans and venue layouts.
- Work with colleagues, partners, and suppliers to source and negotiate quotations within budget and required timeframes.
- Provide regular progress updates to the Events Coordinator.
- Actively Participate in team meetings.
- Working outdoors may be required.
- Assist with the distribution of Teddy Bears to hospitals and other partnering recipients.
Planning and Administration
- Contribute to event operations and planning including budgets, schedules, resource requirements and stakeholder consultations.
- Update and maintain records, databases and websites, complying with administrative systems requirements.
- Assist the team with general office administration, including diary organisation and file management.
- Assist in organising inventory and other products used by the charity.
- Perform work in accordance with WHS policies and procedures.
- Assist with ad hoc duties as required.
Community Engagement
- Represent the charity mission, values, and ethos within the community.
- Share the charity’s story and impact with the wider community through conversations and presentations.
- Support the development and maintain strong and positive professional relationships with team members, volunteers, beneficiaries, and all stakeholders.
- Liaise with community partners, sponsors, and volunteers to build meaningful relationships.
- Identify opportunities to increase brand awareness, donor engagement, and sponsor visibility.
- Research opportunities for media coverage and community outreach.
- Collect and share impact stories from beneficiaries and supporters.
Team and Culture:
- Contribute to a positive team culture through discussion and actions.
- Contribute and work collaboratively to ensure project outcomes are achieved.
- Help coordinate volunteer involvement and ensure a positive experience for all participants.
- Lead by example and take pride in your personal presentation; ensuring your demeanour, body language and tone of voice embody the high standard of performance expected of the Team.
- Provide feedback, contribute ideas and provide support to management to enhance team and charity effectiveness.
- Work closely with Business With A Heart Ltd Managers to deliver a seamless operation.
- Be responsible for efficiency and implement new initiatives to enhance the charity
Your Experience:
Essential
- Excellent interpersonal and communication skills.
- An excellent knowledge of workplace health and safety .
- A genuine passion and enthusiasm for community engagement, and making a meaningful difference in the lives of vulnerable individuals of all ages.
- Experience working with a diverse range of cultures and ethnicities .
- Reliable, organised, and able to work independently as well as in a team.
- Proactive and takes initiative in tasks.
- Confident in representing the charity in public and/or professional settings.
- Strong Performance Management skills and employee engagement strategies.
Desired
- Demonstrated experience in a not-for-profit or charity environment
- Worked in a professional, fast paced environment.
- Demonstrated experience in motivating and inspiring teams to deliver unprecedented levels of safety and service.
- Previous experience in event set up
