Role Description: As the Honorary Secretary, you will serve as the custodian of official records and documents, ensuring the smooth functioning of NCWNSW.

Most of the work can be done flexibly, at home and at a time that suits you. You will be working with and supported by our President, Vice-President, Treasurer, other committee members, and ex-officio members.

Key Responsibilities: Committee Meeting Coordination: Schedule and organise two meetings per month ( Feb - Nov), prepare meeting agendas in collaboration with the President / Chair and distribute to the Executive team and members in a timely manner.

Meeting Facilitation: Attend monthly Executive and Council meetings, record minutes via the MinuteMe app, and ensure that all decisions and actions are properly documented and communicated.

Records Management: Maintain up-to-date records of organisational documents, including the constitution, bylaws, policies, members register and resolutions, and ensure compliance with legal and regulatory requirements.

Correspondence Management: Handle incoming and outgoing correspondence on behalf of NCWNSW and respond to inquiries professionally and promptly.

Governance Support: Provide administrative support to the Executive team, including drafting correspondence, preparing reports, and coordinating special projects or initiatives as needed.

Annual General Meeting (AGM) Preparation: Lead the planning and coordination of the AGM, including sending out notices, preparing agendas, and compiling reports for presentation to members.

Requirements: Strong organisational and administrative skills, with great attention to detail. Excellent communication skills, both written and verbal. Ability to maintain confidentiality and handle sensitive information with discretion. Attention to detail, good literacy skills and familiarity with Microsoft Office and email are required. Availability to attend Board and member meetings online and face-to-face where possible, typically held at 5:00 pm twice a month. Knowledge of Incorporated Associations' governance practices and legal requirements (preferred but not essential). Grant writing skills (not essential)
