Scope

The Board of Bicycles for Humanity, Melbourne is seeking to appoint a person with experience developing and project managing events and activities to raise funds and the visibility of B4H with key stakeholders. This is a newly created role working with the Fundraising Committee and other Committee’s to coordinate the activities required to make each agreed event of activity a success.

The duties listed below are indicative and there will be an opportunity for the new incumbent to define role scope and responsibilities.

This part time, volunteer role presents a unique opportunity to work with a small but well-established and well respected not for profit in its next steps towards growth and sustainability. The role will shape the way Bicycles for Humanity, Melbourne develops events and fund raising programs that are essential to secure funding to alleviate poverty through sustainable transport in the form of a bicycle.

Key Responsibilities

Event Program Planning

· Work with the Fundraising and Marketing Committee members to develop an annual plan of fundraising events and activities.

· Work with the Fundraising Leader to gain approval of the annual plan and budget from the Leadership Team and Board.

· Lead the implementation of the approved annual event plan either directly or through delegation to appointed volunteers or partners.

· Ensure events and activities enhance the reputation of B4H and supports its mission and values.

· Support a positive culture of collaboration across the organisation.

· Ensure a safe and healthy workplace through planned events

Event Project leadership

· Lead the development and implementation of two major events in line with the annual plan and agreed goals.

· Manage internal and external resources, negotiating with external vendors and monitoring their deliverables and performance against agreed outcomes.

· Resolve all project issues and deviations to plans.

· Maintain accurate records of all expenditure.

· Source volunteers; if required, managing their onboarding, coaching and support, as well as their work during and post event.

· Work with venues to create/revise room layouts/seating arrangements for each event as necessary.

· Manage on-site set-up and clean up for events as necessary.

· Organise and manage the invitation, registration and attendee check-in processes.

· Conduct a post event review to measure performance against the plan objectives and identify changes to improve future events.

Skills and Experience

Essential

· Proven experience as an event manager

· Skilled in Project Management

· High level collaboration, relationship building and networking skills

· Understanding of managing a budget for events

· Demonstrated alignment with Bicycles for Humanity, Melbourne’s mission and values

· The time and willingness to commit to the role for a minimum of 12 months

Desirable

· Demonstrated creativity and proactivity in identifying new events and fundraising activities

· Experience working in the community, not for profit or charity sector

· Experience in growing and diversifying revenue

· Experience managing grants and fundraising

· Experience in monitoring and evaluation

· Externally – donors, partners and vendors
