ORGANISATION DETAILS

The Communities' Council on Ethnic Issues (CCOEI) is a not-for-profit, non-political, and non-religious organisation situated in the Eastern Region of Melbourne.

OBJECTIVES:

  • Encourage cooperation, social inclusion, and harmony amongst all communities
  • Work with government and non-government organisations to identify and bridge gaps in service delivery to improve access and participation
  • Establish and maintain networks between key stakeholders to facilitate communication, consultation, and collaboration.

CCOEI members are valued volunteers that help manage the organisation, with our aims and objectives being achieved through collaboration with local service providers, government agencies, and non-government organisations. CCOEI adheres to the Universal Declaration of Human Rights and represents the multicultural interests of diverse people.

COMMITTEE OF MANAGEMENT

  • Oversees the management of the organisation including planning for Migrant Settlement Committee meetings
  • Provides administrative and other support
  • Proactively seeks out grant funding to support cooperation, social inclusion, and harmony in the Eastern Metropolitan region of Melbourne
  • Conducts forums and seminars to share information with a variety of service providers with a focus on co-design with multicultural communities
  • Works with government and non-government organisations to identify service issues and improve service deliveries
  • Establishes and maintains networks between service providers and local community leaders through consultation and collaboration.

REGIONS COVERED

CCOEI operates in the Eastern Metropolitan Region of Melbourne and covers the following local government areas: Boroondara, Knox, Manningham, Maroondah, Monash, Whitehorse, & Yarra Ranges.

VOLUNTEER SECRETARY - COMMITTEE OF MANAGEMENT

The Secretary is an integral part of the volunteer executive team and works in collaboration with the President, VP, Treasurer and other Committee members to guide the smooth running of the organisation. The Secretary is also responsible for ensuring the organisation meets its governance obligations in terms of record management. Mentoring and support will be provided.

This role would suit an experienced Secretary or someone in administration or stakeholder engagement who would like to develop their skills in this area. Join a dynamic team of volunteers committed to promoting harmony and social inclusion in the Eastern Region of Melbourne.

KEY ACCOUNTABILITIES

  • Committee of Management (CoM) meeting coordination and attendance
  • Migrant Settlement Committee (MSC) meeting attendance and support to Chair
  • Preparation of meeting documentation - agendas, minutes etc.
  • General administrative tasks - filing, managing correspondence
  • Governance - maintaining Membership Register, filing documentation with Consumer Affairs Victoria (CAV), AGM planning and coordination.

DESIRABLE SKILLS

The following skills are desirable but not necessarily a requirement to be successful in this role:

  • Coordination & organisation
  • Previous experience in administration
  • Preparing agendas and taking minutes
  • Good written and oral communication
  • Stakeholder management
  • Commitment, problem-solving and dependability
  • Proactive individual who is able to work as part of a team and also individually
  • Persons with an awareness of the needs of migrants and refugees or experience in this area.
