Volunteer Administration Officer – Maternity Leave

PRIMARY OBJECTIVES OF THE POSITION

Negotiable up to 3 days per week (15-21 hours) for 3 months (1 July 2022 – 30 September 2022).

The Administration Officer will be required to perform all administrative tasks including, but not limited to, telephone enquiries, filing, database entry, computer operating duties i.e., Microsoft products – Word, Excel and Power Point, photocopying, maintaining records, using applications such as Microsoft Teams.

KEY RESPONSIBILITIES AND DUTIES OF THE POSITION

• Be the first point of contact with external parties via reception telephone and admin email.

• Provide administrative support to ensure efficient operation of the office and online working.

• Support maintenance of office environment, including supply of consumables.

• Administer the human resources information system.

• Other duties may be assigned as needed.

ACCOUNTABILITIES

• Ensure Operations Department is informed of all issues in a timely manner and working collaboratively to resolve them.

• Ensure the office is kept supplied with all equipment and consumables at all times.

• Comply with all Company policies and procedures.

KEY PERFORMANCE INDICATORS

• All contacts from external sources handled effectively and on time.

• The HR system kept up to date with all required activities undertaken and recorded on time.

• Delivery to agreed timelines and quality requirements for all documentation.

• Nil WHS incidents

SELECTION CRITERIA

Essential Requirements

• Mature and calm approach to dynamic work environment – ability to work independently and take initiative.

• Office administrative experience.

• Minimum 2 years’ experience with relevant software including MS Office.

• Commercial understanding.

• Excellent problem-solving skills.

• Highly organised.

• Excellent oral and written communication skills.

• Ability to work under pressure and meet deadlines.

• Commitment to confidentiality and ethical practice. Desired requirements

• Experience with the Not-for-Profit industry.

• Hold relevant Police and Working with Children checks (or the ability to obtain them).
