VOLUNTEER Administration Secretary - very small Charity.

Role Description Administration Secretary. • The position is a specialised role requiring a high level of efficiency and confidentiality. Duties include: o Taking and recording of minutes and creating agendas of Committee Meetings. o Upkeeping various Company documents, policies, procedures, and other like documents. This position reports to the CEO and Chair of Board. The position does not deal with clients. Role FTE and duration.

The position is a volunteer part-time position, ongoing. The position may be fully volunteer, or a stipend may be negotiated. A trial period of 4 months would apply. The Number of hours per week will vary up to 6 hours (maximum on average) including attending bi-monthly Committee meetings held during the evening. Attendance may be via electronic video means such as Zoom. Duties

At the direction of the CEO, the position will · Record accurately the decisions, commitments and major discussion points made at Committee Meetings. · Prepare draft minutes from each meeting for review and approval by the CEO · Draft minutes to include accurate resolutions from the meetings and ensure formatting and standard text is in accordance with requirements. · Prepare and distribute the Committee Agenda and Minutes in a timely manner. · Always maintain confidentiality. · Other duties may be assigned.

As Administrative assistant, the position will

• Maintain and update company documents such as Policy and Procedures and other associated documents • Maintain and update various Government reporting sites (ACNC et al) · Other duties may be assigned.

General Responsibilities All staff are required to: · Promote ECW’s Vision, Mission, and Values. · Develop and maintain collegial communication, co-operation and collaboration between all members on the Committee. · Comply with ECW Inc’s policies and procedures. Essential Criteria · Well-developed written communication skills, including proven experience taking minutes at committee level meetings. · Experience with the Microsoft Office 365 and Windows operating platform. · Strong attention to detail and organisation skills including the ability to set priorities and to work to deadlines. · Ability to work unsupervised · Good interpersonal and verbal communication skills. · Ability to work effectively as part of a small team. · Proven ability to maintain confidentiality. · Ability to obtain a clear Police Clearance if required · Understanding of ‘Duty of Care”

Selection Criteria – Desirable · Experience with or exposure to the Welfare sector. · Understanding of governance as it relates to NGO sector.
