Volunteer Receptionist (First Nations candidates strongly encouraged!)

ROLE AND RESPONSIBILITIES As the welcoming face and one of the main points of contact for 3rd Space visitors, you will:

  • Provide exceptional customer service to all 3rd Space visitors and stakeholders, building strong relationships with all internal stakeholders
  • Provide general information about 3rd Space services and ensure that visitors and enquiries are connected to support offered by the organisation
  • Attend to incoming calls and emails, charge phones, sort, file and distribute mail and messages to relevant staff
  • Distribute emergency relief clothing, toiletries and towels for showers
  • Maintain digital records of activities and other administrative tasks as instructed by staff
  • Work closely with the rest of the team to identify opportunities to reduce the risk that visitors may become agitated, in accordance with internal procedures

COMMITMENT

Shifts occur over a 7 day roster. There are two shifts available each day, with two volunteer positions in each shift.

Morning: 8:00am-12:00pm Afternoon: 12:00pm-4:00pm

Ideally, volunteers will opt to do the same shift each week. Additional shifts will be offered depending on current needs.

THE RIGHT CANDIDATE

Previous experience in social work, disability support, counselling, nursing or within the community sector would be highly sought after.

Successful candidates will:

  • Possess excellent communication skills and ability to liaise with stakeholders at all levels
  • Have a general understanding of reception activities (answering the phone, receiving and sending emails, printing forms, performing internet searches)
  • Be reliable and punctual
  • Be committed to working in accordance with 3rd Space values of respect, dignity, perseverance and integrity
  • Have an awareness and or commit to finding out the historical and contemporary issues that impact First Nations people (e.g. intergenerational trauma, closing the gap)
  • Have an understanding of and be willing to work within trauma-informed frameworks and person-centred approaches
  • Be willing to go the extra mile, show initiative and treat each person as an individual
  • Perform calmly in a fast-paced environment and stressful situations including critical incidents relating to alcohol and other drugs, mental health issues and medical issues
  • Practice self-care and have the capacity to ask for support for themselves as needed
  • Be able to work within the parameters of the volunteer role, policies and procedures and respect professional boundaries.

All Reception applicants must:

  • Be willing to commit to a minimum of 6 months starting with 1shift (4 hours) weekly for 6 months
  • Obtain and link a Blue Card to 3rd Space
  • Submit a National Criminal History Check clear of disqualifying offences at their own expense (these can be arranged for around $29).
  • Familiarise themselves with and agree to 3rd Space Code of Conduct, Emergency Procedures and WHS Policy and procedures, Preventing and Responding to Challenging Behaviours Procedure, Child and Youth Risk Protection Framework
  • Experience in similar role is preferred but not necessary.
