Administration Officer

Mandala Community Counselling

Mandala is looking for a strong volunteer administration officer with great communication skills. Basic to intermediate knowledge of Microsoft products (Excel, Word, PowerPoint, OneDrive), Google Drive, Adobe PDF and Zoom is required. Experience in counselling or health environments is an advantage, however, not required.

Primary responsibilities

  • Receive and respond to all incoming emails to Mandala through the website (approximately 1 per week)
  • Provide on request general admin support for Board members, Clinical & Training Committee (e.g. drafting minutes or a form).
  • General Admin support for training, including receiving and processing applications, payments, venue arrangements, books, placing advertisements and general support to Training Committee and volunteers. Face to face or Online Training Course usually runs 7 alternate Saturdays over 14 weeks, once every one to two years. The role is focused on arranging the sessions and being on stand by if issues arise (attendance of the sessions not required).
  • Assist with the organisation of a reading group for supervisors of counsellors, counsellors and trainee counsellors run once every two months. The administration officer would set the dates, confirm with the host/facilitator, send out invites, collect RSVPs and setup zoom link
  • Assist with organising social events (e.g. 2-3 events annually for c. 20 people including the Mandala Christmas Party)
  • Expected input of 2-3 hours a week (except during training where additional availability needed for phone calls and emails)

Secondary responsibilities:

  • Updating and maintaining Mandala documentation including letterheads and forms
  • Maintain online central Mandala Records and Documents System (OneDrive / Google Drive)
  • Assist with setting up and maintaining social media if required

Mandala is a small charitable organisation which addresses the psychological needs of the disadvantaged. Professional counsellors and psychologists volunteer their time so that clients, who would not otherwise be able to access such services, receive affordable ongoing counselling.
