HUMANITARIAN PROJECTS INTERNATIONAL INC. (HPI)

Position –TREASURER RESPONSIBILITY: The Treasurer is responsible to the HPI Management Committee for the overall financial management of HPI and to provide financial support and advice as required to the HPI Committee, State Managers, Team Leaders and Team Members. ROLE: The Treasurer is responsible for the financial management of HPI.  The Treasurer will: Accounting System: • Record all transactions on an accrual basis in an electronic accounting system with secure back-up on an external hard drive.

Bank Accounts: • Maintain the HPI bank accounts and reconcile them to the accounting system at least monthly. • Keep and maintain HPI’s deposit and cheque books.

Receipts: • Maintain computer system and hard copy records of all receipts as recorded in the HPI bank accounts. • Transfer moneys received through PayPal and other agencies to the HPI bank account. • Accept and bank all donations made to HPI and allocate them to the applicable HPI project. • Issue tax-deductible receipts for donations upon request.

Payments: • Maintain computer system and hard copy records of all payments including receipts, invoices and statements. • Transfer funds to HPI projects, both local and overseas, as approved by the HPI Committee, at the best possible currency exchange rate. • Ensure that all payments are approved or ratified by the Management Committee and that they are recorded in the minutes and financial statements. • Prepare budgets for all projects and, once approved by the Management Committee, have contracts drawn up and signed by the project partner. • Maintain records of project expenditure against approved budgets.

Financial Statements & Registers: • Keep and maintain an asset register for HPI. • Keep all financial records in a secure location. • Prepare timely financial reports for the Management Committee.  Offer comments and advice where required. • Ensure that the HPI financial statements are audited annually in time for presentation of Audited Financial Statements to the Annual General Meeting.

Quarterly and annual returns: • Prepare and lodge quarterly BAS returns for GST paid and received. • After the AGM, complete and file the Annual Returns to the Qld Dept. of Fair Trading and to the Australian Charities and Not-for-Profit Commission (ACNC).

Team Travel: • Set fundraising and personal travel costs targets and time frames for all travelling teams. Ensure State Managers and Team Leaders are kept aware of individual’s adherence to these time frames. • Accept and bank fundraising & personal travel costs amounts made by the Team Leaders and Team Members in individual accounts in the accounting system. • Advise and assist State Managers and Team Leaders with the financial aspects associated with individual team trips.

General: • Attend Manangement Committee and AGM meetings. Maintain a close cooperative association with Management Committee Members, State Managers, Team Leaders and Team Members. • Promote HPI to communities and other interested bodies.
