Support Group Members - Everton Park District

A Support Group is a body of non-uniformed people within a District (Everton Park). The Support Group have no responsibility for the running of Units or the appointment of Leaders.

The success of Guiding depends on the adult volunteers who give their time and energy to support Guiding. Our Support Group is a great source of strength and support to the District Manager, Leaders and Units and assists with the promotion of Guiding in the local community. They help financially and actively through projects, participation in Guiding and community events. All our Leaders know and appreciate the contribution of our wonderful Support Group. They provide essential moral, practical and financial support within our District and work together as a team to ensure the smooth running of our District.

Be part of the District team: • Attend monthly meetings • Participate in activity days • Welcome parents • Assist with the maintenance of our building and equipment • Promote Guiding within the community • Assist with administrative work • Hold a current Blue Card (Legislative and Girl Guides Queensland requirement)

No previous experience is required; becoming a support group member offers opportunities for personal development, friendships and fun whilst empowering the leaders of tomorrow!

These are some of the practical ways Support Group members can assist the District. Become an Officer Bearer on our support group. Our Support Group has many positions available, including the ones listed below or any other way you can help support Everton Park. Roles can be shared between multiple people and can be tailored to your needs and the time and skills you can give. Office Bearers should (where able) attend the monthly Support Group meetings and local events that we take part in. President • Work closely with the District Manager • Prepare, with the Secretary, an agenda for each meeting and conduct efficient meetings encouraging full participation • Present an annual report for the Support Group at the Annual General Meeting • Liaise with Girl Guides Queensland where necessary Vice-President • Assist the President - is part of the team • Chair the meeting in the absence of the President and assume the responsibility of any office bearer who is unavailable Treasurer • Prepare an annual budget for the District • Pay all accounts and keeps a record of payments for audit purposes • Keep current records of all financial transactions and prepare a written monthly financial statement • Ensure that all financial books of the SG/DST are audited annually and, with the District Manager, prepares an audited annual statement Secretary • Attend to correspondence • Notify members and parents/caregivers of meetings • Keep concise and accurate minutes of all meetings, highlighting who will action decisions • Complete the Annual General Meeting Report Form and sends with Annual District Report, Building Safety Checklist and Receipts and Payments Summary (Audit Report) and sends to the Region Manager by 31 March each year. • Retain an inventory of all District property and a key register Hut Hire Coordinator • Keep a calendar of hut hirers • Liaise with hut hirers and respond to enquiries for hut hiring • Organise keys for hut hirer • Organise invoices for hut hirers Hut Maintenance Coordinator • Organise ad hoc hut maintenance e.g. broken equipment, leaky tap • Organise scheduled hut maintenance to ensure hut is kept well maintained e.g. fire equipment, gutter cleaning Hut Cleaning Coordinator • Organise regular hut cleaning to ensure hut is kept well maintained • Restock cleaning supplies when necessary Second Hand Uniform Coordinator • Coordinate stock of second hand uniforms and keep inventory • Organise collection of payments for second hand uniforms • Respond to enquires for second hand uniforms Biscuit Coordinator • Place yearly biscuit order • Liaise with Girl Guides Queensland and delivery company to organise delivery of the biscuits • Organise distribution of biscuits, including stalls at local shops/events • Organise invoices and collection of money for biscuits Fundraising Coordinator • Organise fundraising for specific causes/reasons or for a general fundraiser for our District Grant Coordinator • Source grants to assist financially, or to purchase/update equipment • Write and apply for grants, in consultation with District Manager and Girl Guides Queensland Public Relations/Social Media Coordinator • In consultation with the District Manager, initiate and support public relations activities that will improve the Guiding image in the community • In consultation with the District Manager, produce a regular newsletter • Collate information for and organise regular posts and interactions on our District Facebook page Support Group Member • Assist with any of these roles, projects or causes • Any other skills you can contribute Applicants will need to undergo a Blue Card Working with Children Check & hold a current First Aid Certificate
