Administration Support Volunteer (Volunteer)

Purpose of Role The Program Administration Support Volunteer will assist the Program Coordinator with organising and reporting on several program activities as part of the ‘Fostering Integration’ grant the Australian Syrian Charity is currently working with. The program is funded until May 2020 and includes at the moment piano lessons and a marching band rehearsal for children and young people, as well as English classes and one-on tutoring for adults.

In this role, you will be the responsible for the smooth running of activities and the accurate reporting of program outcomes. You will be a highly organised and self-motivated individual who has previous experience in administration, office and/or programme support. You will have a good understanding of managing databases, implementing and maintaining administrative processes and policies, event planning, communications and community engagement. Crucial to your success in this role will be your ability to thrive in a small, volunteer-run environment that will often require you to apply a creative and proactive approach.

Key Responsibilities

  • Support the Program Coordinator activities with preparation of monthly reports, reporting against team plans and project outcomes
  • Support the Program Coordinator in liaison with community organisations, program planning, monitoring and evaluation
  • Support the communication of the team’s activities to other team members and to ASC admin
  • Manage team files, documents and records
  • Provide input into the development of program activities
  • Compile a database of people and resources that can offer support to the community engaged
  • Maintain a culturally sensitive attitude and avoid discussing topics related to politics or religion, respecting the conservative Christian background of most of the community members
  • Attend community events and where possible
  • Attend inductions, trainings and possible volunteer get-togethers where possible
  • Record and submit volunteer hours
  • Comply with ASC policies and procedures, identify OHS concerns and communicate these to ASC staff (e.g. report hazards or incidents)
  • Other related duties as delegated

Legislative Requirements

  • Ensure compliance with relevant policies and legislative requirements such as Occupational Health & Safety (OHS), the Commonwealth Privacy Act and ASC Child Protection Policy.
  • Obtain a Working With Children Check and a Police Check before starting your work with ASC.
  • Familiarise yourself with relevant policies, procedures and work practices of ASC

Selection Criteria

  • More than 3-years experience in administration and/or program support
  • Tertiary education and/or extensive work experience in either international relations/development studies, social work, community engagement or related fields
  • Excellent administrative, IT and time management skills
  • Experience in organising events and meetings
  • Great interpersonal and communication skills and the ability to engage with a wide range of stakeholders, including through correspondence, at events and meetings
  • Have fluency (written and spoken) in English; knowledge of Arabic would be an advantage
  • A strong interest in working with refugees, and a great degree of cultural sensitivity in working with people from CALD and /or complex or vulnerable backgrounds
  • Demonstrated flexibility, patience and cross-cultural communication, especially in building rapport with people
  • Ability to work independently and as a part of a team
