Purpose of Role

We are looking for an experienced Events Coordinator to organise a one-day Community Arts Festival late February and coordinate a small team of volunteers to help make this event successful. The Festival focuses around ‘bridging culture through art’ and will include art works and handicrafts by refugees and migrants in Australia. The festival works towards building understanding and acceptance of Victoria's cultural diversity and build community harmony. The role is available immediately. Expressions of Interest for artists to participate will go out mid-December with a deadline for January 9. In return, we offer you the chance to make a real difference in the lives of refugee families who are new to the Melbourne community. This festival is a wonderful opportunity for everyday Australians to establish a connection with the Australian-Syrian community, and to help them to feel more comfortable living here in this country. Art and music have healing qualities, and this is your chance to share that gift, while saying "welcome"! This position will require a Working with Children Check and Police check.

Key Responsibilities

  • Plan and organise a one-day community arts festival in late February
  • Coordinate a small team of volunteers to help out with the organisation and duties on the day.
  • Coordinate the expression of interest process for artists and liaise with each artist to confirm the details of their participation.
  • Be the main point of contact for the artist and other partners involved in organising the festival.
  • Plan, organise and supervise the setting up, display and logistics related to the festival
  • Liaise with caterers and food providers.
  • Attend fortnightly meetings on a Tuesday at our Brunswick centre to report to the staff about the progress regarding the festivities.
  • Organise a briefing and support for volunteers helping out on the day.
  • Record and submit the hours you dedicate to the role.
  • Evaluate festival outcomes against grantor requirements. Write acquittal report.
  • Familiarise yourself with relevant policies, procedures and work practices of ASC and identify OHS concerns and communicate these to ASC staff (e.g. report hazards or incidents).

Legislative Requirements

  • Ensure compliance with relevant policies and legislative requirements such as Occupational Health & Safety (OHS), the Commonwealth Privacy Act

and ASC Child Protection Policy.

  • Obtain a Working With Children Check and a Police Check before

starting your work with ASC.

Selection Criteria

  • Demonstrated experience organising events with tight deadlines, preferably within a community and CALD setting
  • Be organised and have the ability to adhere to set deadlines
  • Experience in coordination of a small team
  • Excellent verbal communication, interpersonal skills and facilitation skills.
  • Demonstrated flexibility, patience and cross-cultural communication.
  • Experience with people with complex or vulnerable backgrounds and people
  • from CALD backgrounds.
  • Experience with report writing.
  • Be capable to take on a leadership role with a pro-active approach.
  • Ability to work independently and as a part of a team.
  • Be able to attend forthnightly meetings with the ASC staff.
  • Creative and enthusiastic, with the ability to motivate others.
  • Affinity with the organisation’s purpose and values.
