Purpose of the Position: Working closely with the Accountant and Executive Officer the Accounts Assistant/Bookkeeper will be responsible for the timely and accurate input and allocation of income and expenses into the accounting system. Person Specification  Relevant qualifications or demonstrated industry experience to coordinate volunteers for a community organisation  Strong administrative and organisation skills  Excellent communication skills  Capacity to work flexible hours as requested and required  Working with Children Check  Current Police Check Position Goals and Duties  Managing Accounts payable – Raising invoices, batch processing and uploading payments in  Xero (including seeking appropriate approvals prior to submission)  Processing payments and invoices accurately and within expected time periods  Accounts Receivable management– including invoicing for various programs  Prepare end of month journal entries  Weekly banking or supervising banking volunteer  Reconciliation of bank accounts, GST, grant liabilities, petty cash and Load and Go Cards.  Reviewing staff expenses ensuring correct allocations for GL, programs & tax  Prepare BAS and IAS and lodge with ATO on a timely basis.  Reviewing direct client payments on balance-sheet are recorded per information provided by financial welfare team  Reconcile salary with Access Pay. Payroll is currently outsourced but upload payroll from salary provider into Xero and the bank.  Future Payroll Processing  Ensuring that for every transaction in Xero there is a corresponding invoice or journal calculation attached  Documenting procedures in relation to expenses & accounts payable/receivable  Undertaking administrative duties including reports, correspondence, filing and general  enquires  Assisting accountant with ad-hoc duties

General  Attention to detail and problem solving skills  Proficiency in Word, Excel, Google Suite  Ability to manage competing demands  Experience in creating and maintaining schedules, accurate records and monitoring work flows  Demonstrated ability to work as part of a small team  Excellent time management skills  Adhere to all Policies and Procedures of Hills Community Aid  Attend monthly team meetings and other organisational development days as required  Be an active team member, sharing responsibilities, skills and information  Ensure a clean and safe workspace  Carry out other duties as required by the Executive Officer or Board of Governance
