The Good Box

The Good Box is an Australian charity with a strong sense of family, community, and purpose. Founded to restore dignity, care, and connection to people experiencing homelessness, The Good Box provides beautifully packaged boxes filled with high-quality essentials, non-perishable food, and handwritten notes of kindness. Each box is designed to do more than meet basic needs. It’s a tangible reminder that someone cares, helping to break down stigma and rebuild self-worth.

Role Overview

The Board Secretary plays a key role in supporting the effective governance of The Good Box. This position ensures that the Board operates efficiently, in compliance with its legal and ethical obligations, and that accurate records and communication are maintained. The Secretary works closely with the Company Directors and Board Members to ensure smooth coordination between governance and day-to-day operations.

You’ll be joining a small, female-led, and family-oriented board, which includes our two Co-Founders (who also serve as Company Directors) and one other Board Member. We are a culturally inclusive, non-political organisation driven by compassion and collaboration. As a nimble and passionate team, we achieve meaningful impact by doing a lot with a little, through creativity, care, and strong community spirit.

Board meetings usually take place online during a weekday in work hours based on everyone's schedule (Monday-Thursday online).

Key Responsibilities

Compliance and Governance

  • Maintain statutory registers (Directors, Members, Conflicts of Interest).
  • Ensure timely lodgement of ASIC and ACNC notifications (appointments, cessations, annual review, AIS).
  • Coordinate preparation and circulation of Board agendas and papers.

Board Support and Administration

  • Schedule, prepare, and coordinate all Board meetings (including agenda preparation, document collation, and distribution).
  • The Secretary should confer with the Company Directors on the agenda prior to its circulation.
  • Draft accurate minutes of Board and general meetings.
  • Maintain and update the governance calendar and compliance checklist.
  • Support recruitment and induction of new directors and officers.
  • Act as the central contact for correspondence with ASIC and ACNC.
  • Maintain official Board records, including meeting minutes, policies, and governance documents.
  • Support the implementation and periodic review of the Constitution, Board Charter, and key policies.
  • Serve as the main point of contact between the Board and Company Directors
  • Coordinate the flow of information to ensure Board members are fully informed and prepared.
  • Assist with onboarding new Board members and maintaining contact lists and Board documentation.
  • Support the Company Directors in monitoring progress toward strategic goals.
  • Assist in compiling reports, governance calendars, and key deadlines.
  • Help ensure the Board’s activities align with the organisation’s mission, values, and long-term strategy.

Ideal Skills & Attributes

  • Strong organisational and time management skills.
  • Excellent written communication and accurate minute-taking abilities.
  • A sound understanding of governance practices and compliance requirements, ideally within the not-for-profit or charity sector.
  • At least 3 years of experience in a similar role, preferably within a charity or community organisation.
  • A deep understanding of small charities and ACNC regulations.
  • Awareness of the issues surrounding homelessness, and a genuine passion for supporting The Good Box’s mission.
  • High attention to detail and the ability to handle confidential information with discretion.
  • Confidence using collaborative digital tools such as Google Workspace.
  • Strong relationship-building skills and the ability to communicate effectively with diverse board members and stakeholders.
  • Ideally, an established professional network that could help strengthen The Good Box’s reach and connections.
  • Bonus: Proven success in writing and securing grants would be highly regarded.

The ideal candidate is a values-driven, detail-oriented professional who is passionate about supporting charitable impact through strong governance and teamwork. They will be motivated by The Good Box’s mission to restore dignity and connection to people experiencing homelessness. Ideally, they have experience supporting Boards or senior leadership teams in the not-for-profit sector and thrive in a collaborative, purpose-led environment

Commitment

  • 1-1.5 hours every meeting - monthly, roughly 3 hours Administrative responsibilities monthly.
  • Board meetings 4 times a year
  • Strong participation in our annual Giving Day in June and other fundraising campaigns
  • Allowing for ad hoc meetings or misc. action items
  • Updating the Risk Register twice a year
