Position Overview
We are looking for a motivated and values-driven individual to join our board as Secretary cum Membership Officer. The Secretary is an executive member of the IVP Committee and plays a vital role in ensuring the organisation’s effective administration, governance and smooth operations. This includes convening meetings, maintaining records and facilitating communication between committee members, local partners and international networks.
As part of this combined role, the Membership Officer responsibilities include managing applications for new and renewing members, updating the membership database and engaging with members through communication, reminders and support.
Please note that as an executive committee position, the Secretary cum Membership Officer must also be a member of IVP.
Key Responsibilities
Secretary

Schedule and coordinate IVP Committee meetings, prepare agendas and distribute relevant documents.

Attend monthly online meetings, record accurate minutes and maintain organisational records including reports and official documents.

Assist the Chairperson with official correspondence and inquiries, ensuring timely responses.

Assist with filing on Gdrive or similar system.

Support the committee in meeting regulatory requirements and contribute to strategic planning and organisational development discussions.
Membership Officer

Manage membership applications, renewals, payments and database updates while responding to member inquiries and emails.

Create and deliver membership plans focused on acquisition and retention, working collaboratively with the team.

Engage and communicate with members through renewal reminders, welcome emails, newsletters and regular updates in partnership with the Communications team.

Report membership activities and progress to the board on a monthly basis.

Strong organisational and administrative skills

Excellent written and verbal communication abilities

Experienced in email management, document storage and record-keeping

Collaborative team player who enjoys working in a friendly environment

Knowledge of governance and compliance processes for not-for-profits is an advantage

Approx. 6–8 hours per month, including attending online board meetings

Flexible, remote role – can be completed from home anywhere in Australia
