Operation and Event Team Member

About the role

  • Assisting the COO with planning and managing the events calendar.
  • Planning event details and aspects for events.
  • Brainstorming and implementing virtual event plans and concepts.
  • Programming virtual events.
  • Coordinating, documenting, and communicating with multiple individuals to meet the needs for the events.
  • Working with the COO on driving event marketing.
  • Sourcing speakers.
  • Conducting research and communicating with potential speakers regarding topics (particularly by monitoring member/community needs to ensure programming is relevant and supportive).
  • Liaising and negotiating with vendors, partners and sponsors for opportunities.
  • Assisting with the coordination for event logistics, including the implementation of hybrid events.
  • Assisting with budget development for virtual events.
  • Event material and collateral design.
  • Engage and train volunteers as required.
  • Assist with development of social media campaigns.
  • Work collaboratively with the COO to support fundraising.
  • Developing virtual event feedback surveys and post-event reports.
  • Providing regular updates to the COO.

About you

  • You possess a streak of creativity & good organizational skills.
  • Enthusiastic to participate in the vision to help enhance Mynd Initiative’s purpose through virtual events that effectively communicate our strategy and brand personality.
  • Bring experience or interest in the coordination and management of events.
  • Carry in-depth knowledge of events planning and logistics with an emphasis on virtual/hybrid events using Zoom (or similar) and event management platforms.
  • Possess experience working with minimal supervision while remaining a team player.
  • Experience in Database management, online booking systems (e.g., TryBooking) and Electronic Direct Mail systems preferred.
  • Rapport building skills with the ability to liaise with senior members of the organisation, government departments community groups.
  • Excellent written, verbal and public speaking skills necessary to communication clearly and persuasively.
  • Knowledge or experience with information systems, internet, and related tools and technologies, with proficiency in Microsoft Excel.
  • Proficiency with information and communication technology and social media.
  • Marketing experience preferred
  • High level of ownership
  • Eye for detail, somebody who can operate independently with minimal supervision.
  • Be flexible to work with changing priorities based on event and business needs.
