(Volunteer) Bookkeeper

Purpose and Scope

We are seeking an experienced Bookkeeper to join our dedicated volunteer team to support the financial operations of our organisation. The Bookkeeper is responsible for accounts payable, accounts receivable, and will support the finance committee as needed to ensure financial reporting and analysis is completed in a timely and accurate manner.

Key responsibilities

  • Recording financial transactions: Accurately record and classify all financial transactions, including sales, purchases, receipts, and payments, using Xero software.
  • Managing accounts payable: Maintain records of all outstanding bills and invoices, ensure timely payments to suppliers, and reconcile vendor statements.
  • Bank reconciliation: Via Xero - Regularly reconcile bank statements with the company's financial records to ensure accuracy and identify any discrepancies.
  • General ledger maintenance: Maintain and update the general ledger by posting journal entries, adjusting entries, and ensuring accurate account balances, and income reports from Salesforce.
  • Payroll processing: Calculate and process 2 employee salaries, wages, deductions, and superannuation contributions in compliance with applicable laws and regulations.
  • BAS (Business Activity Statement) preparation: Prepare and submit BAS reports to the Australian Taxation Office (ATO) on a regular basis, including, Pay As You Go (PAYG) withholding.
  • Financial reporting: Generate and analyze financial reports such as profit and loss statements, balance sheets, cash flow statements, and other reports required by the board or regulatory bodies.
  • Maintaining asset registers: Keep track of the company's fixed assets, including their acquisition, depreciation, and disposal, to ensure accurate reporting and compliance with relevant accounting standards.
  • Liaising with Treasurer, Board, Accountants and Auditors: Collaborate with external accountants and auditors during the preparation of financial statements, tax returns, and audits/ reviews.
  • Compliance with tax regulations: Stay updated with changes in tax laws and regulations and ensure the NFP bookkeeping practices align with the Australian Taxation Office requirements.
  • Financial analysis: Assist in analyzing financial data, identifying trends, and providing insights to support business decision-making processes.
  • Assisting with budgeting: Provide financial data and insights to support the budgeting process, including forecasting revenue, expenses, and cash flows.

Our ideal person

  • Committed to upholding Rafiki Mwema’s vision, mission and values.
  • Ability to commit to 4hrs per week.
  • Has relevant accounting qualifications.
  • Has a minimum of 2 years’ experience working as a bookkeeper.
  • Proactive and able to work autonomously and a part of a remote team.
  • Computer savvy (Microsoft suite, Canva, Salesforce and others as required to complete the work)
  • Must have or be willing to obtain a Working with Children Check (free for volunteers)
