As a Volunteer Administrative Assistant, you will provide essential support to our organisation's administrative team, helping ensure the efficient functioning of our operations. Your role will be instrumental in maintaining organised records, facilitating communication, and assisting with various administrative tasks.

Key Responsibilities:

Data Entry and Record-Keeping: Accurately enter and maintain data in spreadsheets, databases, and other records. This may include information related to volunteers, donors, events, and program participants.

Communication Support: Assist in managing emails, phone calls, and inquiries. Draft, edit, and proofread written communications as needed.

Scheduling and Calendar Management: Help schedule meetings, appointments, and events. Maintain and update organisational calendars.

Filing and Organisation: Maintain physical and digital filing systems to ensure easy retrieval of important documents. Keep administrative areas neat and organised.

Office Support: Assist with photocopying, scanning, and document preparation. Ensure office supplies are well-stocked.

Other tasks will be:

  • Prepare outgoing mail
  • Collation of brochure information packs
  • Compile stationery order
  • Conduct monthly compliance checks (i.e. first aid kits)
  • Stock take of merchandise and PPE
  • Other general office admin duties as required.

Attributes

Strong organisational and multitasking skills. Attention to detail and accuracy in data entry and record-keeping. Proficiency in Microsoft Office applications (Word, Excel, PowerPoint) and basic computer skills. Effective communication skills, both written and verbal. Respect for confidentiality and the ability to handle sensitive information with discretion.
