Outline of the role: This role provides general administration assistance to the local community office as well as specific support to the events staff. Relay For Life and Do it For Cancer are major Cancer Council fundraisers and the Events Administration Assistant undertakes administrative duties including writing and mailing letters, answering phones, preparation and distribution of team kits, entering data into a database and handling general event enquiries. Do It For Cancer events are held throughout the year and this role supports donors throughout the organising of their events. Tasks will include supporting and maintaining community relationships with fundraisers update and maintain databases.

Key accountabilities

  • General admin tasks including: customer service, reception, postage, ordering office supplies.
  • Administration tasks - answering phones, handling enquiries, filing documents and preparing Thank You certificates.
  • Coordinating mail outs and content for Email Direct Marketing campaigns.
  • Actioning communication to Relay For Life and other campaign participants pre and post events.
  • Database Management with an inhouse CRM. This includes data entry, running reports and updating records.
  • Assist with the coordination and distribution of participant kits for both Relay for Life and Do It For Cancer Events.
  • Maintain adequate supplies for events as appropriate.
  • Contribute to process improvement.
  • Conduct outgoing calls to event participants.
  • Design marketing collateral as required.
  • Liaise with internal and external key stakeholders.
  • Manage the return of event documents and equipment.
  • Organise equipment and/or materials to assist in fundraising and raising awareness where required.
  • Manage documentation for events.
  • Maintain sound knowledge of Cancer Council NSW Fundraising Guidelines.

Our ideal volunteer will have:

  • Experience working in an office environment would be an advantage.
  • Demonstrated administration skills.
  • Excellent communication and time management skills and exceptional attention to detail.
  • Friendly & and pleasant manner with tidy presentation.
  • Ability to use Microsoft Office package, particularly Outlook, Word and Excel and Access.
  • Ability to quickly learn new computer systems and adhere to established data entry standards.
  • Common sense and initiative.
  • Ability to work autonomously as well as part of a team.
  • Pleasant phone demeanour.
  • Flexibility and availability to attend Relay For Life and Do It For Cancer events if required.
