We are seeking applications from individuals with administrative experience who will be responsible for scheduling vet work and maintaining up to date records for the organisation

The Vet Bookings Administrator will be responsible for:

  • Scheduling vet work and maintaining health records in our simple system using Gmail, G-Suite and Shelter Manager
  • Clearing the incoming emailed booking enquiries and liaising with foster carers on days rostered and agreed.
  • Working collaboratively with Foster Carers, veterinary clinics and FFARQ vaccination volunteers, to ensure all vet work and at-home treatments are administered as scheduled.
  • Emailing completed Change of Ownership Forms to the relevant registries.
  • Preparing accurate vet treatment certificates for adoptable fosters.
  • Assisting the Treasury Team in obtaining /clarifying veterinary invoices (as required)
  • Attending a weekly meeting, and communicating in a team chat
  • Updating the Team Manual if necessary
  • Other administration tasks as assigned from time-to-time to assist the team.

To be considered for this role you will have:

  • experience with and love for cats
  • Highly effective organisational and accurate record keeping skills.
  • Ability to liaise and communicate effectively with others.
  • Intermediate computing skills including knowledge of GSuite and Facebook.
  • Working knowledge of GMail and Google Docs
  • Be familiar with creating and editing web-based documents and spreadsheets.
  • Ability to work independently, show initiative and work cohesively within a virtual team.

The successful applicant MUST be able to attend a weekly virtual team meeting which is held outside of business hours, currently on Tuesdays and sometimes on Mondays.
